Job Title: Customs Clearance and Trade Operations Executive
Grade: WL1
Location: Karachi Head Office
The role
The role is responsible for end-to-end management of customs clearance and trade operations, including imports, exports, and all trade-related processes. The position will oversee the complete lifecycle of trade transactions, from LC initiation and documentation to customs clearance, regulatory compliance, and post-clearance coordination. The incumbent will act as the single-point owner for customs and trade operations, ensuring efficiency, compliance, and cost optimization.
What you'll be responsible for
- Customs Clearance Management (End-to-End)
Oversee and manage the entire customs clearance process for imports ensuring timely and compliant release of shipments.
Coordinate with customs authorities, clearing agents, freight forwarders, and logistics partners to ensure smooth operations.
Handle customs audits, inspections, notices, and post-clearance verifications, ensuring accurate resolution of queries and disputes.
Monitor changes in customs regulations, SROs, tariffs, and trade policies, and assess their impact on business operations.
Optimize clearance timelines and costs by identifying bottlenecks and improvement opportunities.
- Import Trade Operations
Coordinate with internal/external stake holder to manage end-to-end import operations, from order placement/receipt to final delivery and documentation closure.
Ensure compliance with all local and international trade regulations, including import/export controls, sanctions, and licensing requirements.
Monitor shipment schedules, vessel/flight movements, and delivery timelines to minimize delays and demurrage/detention charges.
Maintain accurate tracking and reporting of all trade transactions.
- Letter of Credit (LC) & Trade Finance Operations
Coordinate with internal/external stake holder to manage end-to-end LC operations, including opening, amendments, negotiation, and closure for both imports and exports.
Review, and validate all trade-related documents (Invoice, Packing List, B/L, AWB, COO, Insurance, Inspection Certificates, etc.) to ensure compliance with LC terms.
Liaise with banks, suppliers, and internal finance teams to ensure timely processing and settlement of trade transactions.
Identify and resolve discrepancies in documentation to avoid delays, penalties, or non-payment risks.
Maintain proper records of LCs, and other trade finance instruments.
- Documentation & Compliance
Ensure 100% accuracy and completeness of all customs and trade documentation.
Maintain audit-ready records for all import/export and customs clearance activities.
Ensure compliance with State Bank / Central Bank regulations, customs laws, and internal policies.
Support internal and external audits by providing required documentation and clarifications.
- Stakeholder & Vendor Management
Manage relationships with clearing agents, freight forwarders, shipping lines, banks, insurers, and regulatory authorities.
Evaluate and negotiate service levels, costs, and performance benchmarks for trade-related vendors.
Act as the key point of contact for management on all customs and trade-related matters.
- Reporting & Process Improvement
Prepare regular MIS, KPI dashboards, and exception reports related to clearance timelines, costs, duties, and trade volumes.
Identify operational risks and implement controls to mitigate financial, regulatory, and operational exposure.
Drive process improvements, automation, and standardization across customs and trade operations.
We’re looking for someone who
5+ years hands-on experience in customs clearance, import trade operations and trade finance (LCs), with strong knowledge of customs laws, SROs, tariffs and banking regulations.
Proven stakeholder & vendor management skills: excellent negotiation, communication and cross-functional coordination with clearing agents, banks, freight forwarders and regulatory authorities.
Strong analytical skills, audit-ready documentation, experience driving process improvements/automation and proficiency with trade/ERP systems.
