We're seeking an experienced Payroll Tax Analyst to support payroll tax operations for a large, multi-state U.S. workforce. This role is ideal for a payroll professional with strong knowledge of federal, state, and local payroll tax regulations who thrives in a fast-paced, compliance-driven environment. You'll work closely with Payroll, Finance, Accounting, external tax vendors, and regulatory agencies to ensure accurate payroll tax processing and reporting.

Duration: 9 months

Primary Responsibilities

Process and manage bi-weekly payroll tax activities for U.S. salaried and hourly employees.

Ensure compliance with all federal, state, and local payroll tax laws and regulations.

Review employee tax withholding for multi-state and local tax jurisdictions based on work and residence locations.

Process payroll tax deposits, quarterly and annual tax filings, amendments, and reconciliations.

Prepare and distribute payroll tax reports to Payroll, Finance, and management teams.

Manage year-end payroll tax activities, including W-2 processing and tax form distribution.

Register and maintain state withholding, unemployment insurance, and local tax accounts.

Coordinate with third-party payroll tax vendors to ensure timely and accurate filings.

Research and resolve payroll tax discrepancies, agency notices, and employee tax inquiries.

Reconcile payroll tax vendor invoices with payroll accounting and general ledger records.

Perform payroll tax audits and process employee tax adjustments as needed.

Support internal and external audits while ensuring compliance with company policies and regulatory standards.

Identify payroll tax risks and recommend corrective actions.

Complete additional payroll tax and reporting duties as assigned.

Scope of Responsibilities

  • Support payroll tax compliance for a large, multi-state workforce of more than 23,000 employees across multiple legal entities.
  • Manage bi-weekly, quarterly, and annual payroll tax processes, including deposits, reconciliations, returns, and amendments.
  • Partner with Payroll, Finance, Accounting, Human Resources, payroll tax vendors, auditors, and government agencies.
  • Ensure payroll tax records remain accurate and compliant across all jurisdictions.
  • Continuously monitor payroll tax processes to reduce compliance risk and prevent penalties or interest.

Supervisory/Managerial Responsibilities

  • No supervisory or managerial responsibilities.

Education and Experience Required

  • Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or a related field, or equivalent work experience.

3+ years of U.S. payroll tax experience supporting multi-state payroll operations.

Strong knowledge of federal, state, and local payroll tax regulations.

Experience processing payroll tax deposits, reconciliations, returns, amendments, and year-end reporting.

Hands-on experience with payroll systems such as ADP SmartCompliance, Workday Payroll, or similar payroll applications.

Advanced proficiency with Microsoft Excel.

Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.

Education and Experience Preferred

  • Certified Payroll Professional (CPP) certification.
  • Experience supporting enterprise payroll environments with 10,000+ employees.
  • Experience working with third-party payroll tax vendors.
  • Knowledge of payroll accounting, general ledger reconciliations, and audit support.
  • Experience driving payroll process improvements and compliance initiatives.

The expected base salary for this position ranges from $22.61 to $37.67 per hour. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, market factors, and where applicable, licensure or certifications obtained. In addition to salary, a competitive benefits package is also offered.
