Join Aprio's Tax Operations team and you will help clients maximize their

opportunities. Aprio is a progressive, fast-growing firm looking for a Seasonal

Office Support Administrator to join their dynamic team.

The Office Support Administrator will provide support to local offices,

optimizing efficiency, client experience and quality control. There will be

interaction with team members within your local team as well as others outside

of the local team at all levels.

This position provides high level administrative support for the Tax Team. We

are looking for an experienced individual who is efficient and comfortable being

a member of the team. This role will be vitally important to the success of

day-to-day operations and organization of the department. The ability to

multi-task, while maintaining complex schedules is essential in this position.

The ideal candidate is resourceful, an excellent problem solver and very

organized. Assuring completion of projects and assignments in a timely manner is

key to success in this position. Independent judgment is required to plan,

prioritize and organize the diversified workload.

Position Responsibilities

  • Submit engagement letter requests for new and updated client engagements
  • Monitor engagement letter status and follow up as needed
  • Assign client tasks within workflow systems following up as needed
  • Monitor workflow queues and ensure work is routed to appropriate team members
  • Pull and distribute workflow reports on a weekly and ad hoc basis
  • Track tax season uploads and assign client work to appropriate staff members
  • Support workflow capacity management and job tracking initiatives
  • Assist clients with TaxCaddy, Suralink, and other document portal access

requests

  • Monitor client document uploads and communicate status updates to engagement

teams

  • Coordinate incoming documents scan and organization of client documents
  • Email completed returns to clients when requested
  • Send extension forms and other tax-related documents to clients
  • Coordinate distribution and return of source documents
  • Follow up with clients regarding source documents awaiting pickup
  • Submit lost client tickets and maintain related records
  • Assist with client maintenance requests and account updates
  • Support client communication

Qualifications

  • 5+ years Administrative Experience; experience in a Tax Practice is a plus
  • Technology Savvy
  • Great interpersonal skills
  • Skilled at managing upwards

Skillset

  • Ability to analyze and revise operating practices to improve efficiency
  • Detail oriented and comfortable working in a fast-paced and time sensitive

office environment

  • Proficiency in multi-tasking and prioritizing using strong problem-solving

skills and the ability to self-direct

  • Aptitude for working with a diverse group of important external clients as

well as internal associates at all levels of the organization

  • Exceptional written and verbal communication skills are necessary
  • Superior organization skills and dedication to completing projects in a

timely manner

  • Organizes and prioritizes large volumes of information and calls
  • Acts as the ambassador of the department
  • Ability to work independently and acts as project manager on special

projects

  • Proofreads for spelling, grammar and formatting, making appropriate changes.

Responsible for accuracy and clarity of final copy

  • Ability to learn quickly and become proficient with Aprio's Windows based

applications
