Location: Malaysia Regional Coverage: Malaysia, Indonesia, Thailand, Vietnam & Philippines About the Role ByteBridge is looking for a Regional Logistics & Customs Specialist to support our growing operations across Southeast Asia. Based in Malaysia, this role will manage end-to-end import/export logistics, customs clearance and cross-border shipment coordination across Malaysia, Indonesia, Thailand, Vietnam and the Philippines.

You will work closely with freight forwarders, customs brokers, suppliers and internal teams to ensure IT, networking and data center equipment is shipped efficiently, cleared smoothly and delivered in compliance with local regulations. Key Responsibilities Import/Export & Customs Manage end-to-end import and export shipments across Southeast Asia, from shipment planning through customs clearance and final delivery.

Handle and coordinate customs declarations and clearance requirements across Malaysia, Indonesia, Thailand, Vietnam and the Philippines. Review and determine appropriate HS code classifications for IT, server, networking and related equipment. Calculate and verify applicable customs duties, import taxes and other clearance charges.

Ensure shipments comply with local customs and import/export regulations. Coordinate product-specific permits, certifications and regulatory approvals for electronic and telecommunications equipment where required. Work closely with local customs brokers to resolve customs queries, inspections, documentation discrepancies and shipment holds.

Keep up to date with changes in customs regulations and import requirements across the supported markets. Freight Forwarding & Cost Management Source, evaluate and manage freight forwarders and logistics partners across the region. Obtain and compare quotations for air, sea, road and courier shipments.

Negotiate freight rates and commercial terms to achieve competitive pricing and reliable service. Calculate total logistics and landed costs, including freight, duties, taxes, handling fees and surcharges. Prepare freight quotations and cost estimates for internal Sales, Operations and Project teams.

Identify opportunities to optimize logistics costs while maintaining service quality and regulatory compliance. Shipping Documentation & Courier Management Arrange international shipments through freight forwarders and courier providers such as DHL and FedEx. Prepare and review shipping documents including commercial invoices, packing lists, airway bills and customs documentation.

Ensure shipment information and documentation are accurate and consistent before dispatch and customs declaration. Coordinate documentation requirements with suppliers, customers, forwarders and customs brokers. Shipment Tracking & Exception Management Track shipments from origin through customs clearance to final delivery.

Provide timely shipment updates to internal stakeholders. Proactively manage logistics exceptions, including customs holds, inspections, documentation amendments, tax adjustments, shipment delays and delivery changes. Coordinate with relevant parties to minimize delays and ensure timely resolution of shipment issues.

Maintain organized records of shipping documents, customs declarations, permits, freight quotations and logistics costs. Requirements Minimum 2 years of relevant experience in import/export logistics, customs clearance, freight forwarding or regional logistics. Hands-on experience managing cross-border shipments within Southeast Asia.

Good knowledge of HS code classification, customs duties, import taxes and customs documentation. Familiarity with import permits, certifications and regulatory requirements for IT, electronic or telecommunications equipment. Experience working directly with freight forwarders, customs brokers and international courier providers.

Hands-on experience obtaining freight quotations, comparing rates and negotiating with logistics providers. Familiarity with DHL, FedEx or similar international courier platforms. Good numerical and analytical skills, particularly in freight and landed-cost calculations.

Strong communication and coordination skills with the ability to work across different countries and stakeholders. Detail-oriented, organized and able to manage multiple shipments and priorities simultaneously. Good written and spoken English.

Mandarin proficiency is an advantage for coordination with Chinese-speaking stakeholders and suppliers.
